Asst. Enrollment Coordinator
We are seeking qualified candidates for the Assistant Enrollment Coordinator position.
Reports to: Executive Director
FLSA Classification: Exempt
Salary Range: $44,000 - $47,000 (based on a 40-hour workweek)

Schedule: Full-time, Monday-Friday, 8 hour shifts
We are excited to announce an opportunity to join PIC as the Assistant Enrollment Coordinator! This role is an integral part of PIC’s administrative team, helping to ensure smooth enrollment processes, compliance with program requirements, and overall support for families and staff.

Key Responsibilities
Enrollment & Compliance
- Manage and track all child enrollment records, ensuring compliance with certification requirements.
- Enter and maintain accurate data in Brightwheel, COPA, and PELICAN enrollment systems.
- Assist with parent meetings, tours, and communication regarding enrollment processes.
- Support PreK Counts enrollment by ensuring families complete all required application materials.
- Monitor and ensure compliance with DHS, CACFP, and other regulatory programs.
CACFP (Child and Adult Care Food Program) Management
- Oversee CACFP requirements, including monthly invoicing and annual audits.
- Ensure all food program documentation meets state compliance standards.
- Communicate with food vendors and program staff to ensure smooth meal service operations.
Administrative & Team Support
- Produce reports from Brightwheel and assist with data management.
- Provide administrative support, including answering phones, photocopying, managing security cameras, and general office tasks.
- Assist in classrooms when needed to meet ratios.
- Support center-wide events and fundraising efforts.
- Actively participate in team meetings and work collaboratively with the administrative team.

- Experience with administrative work in a childcare or educational setting is preferred.
- Familiarity with DHS licensing, PreK Counts, COPA, PELICAN, and CACFP compliance is a plus.
- Bachelor’s degree preferred, but not required with relevant experience.
Physical Requirements & Work Environment
- Ability to lift up to 50 lbs and be on your feet when assisting in classrooms.
- Availability for occasional evenings and weekends for events or administrative needs.
